Privacy Policy

How we collect, use, share and protect personal data for the Automotive Technology Show and its event services.

Last updated: September 2026

This policy applies to the Automotive Technology Show website, event registration, event communications, admission, badge services and related event administration. We process personal data in accordance with the UK GDPR and, where applicable, the EU GDPR.

1. Who we are

The data controller and event organiser is:

AUTOMAKER TV & MEDIA LIMITED
Suite I, Business Development Centre
Stafford Park 4
Telford, Shropshire, TF3 3BA
United Kingdom

Company number: 07893763 (registered in England and Wales). Automotive Technology Media is a brand of the company.

Privacy enquiries: ns@automotivetechnology.org

b-plus GmbH is the event co-organiser and principal sponsor. It may receive limited access to information where necessary to support event organisation, administration and relevant event follow-up, as explained below.

2. Information we collect

Depending on how you interact with us, we may collect:

  • Your name, company, job title, business email address, telephone number and country.
  • Registration, ticket, badge, attendance and event participation information.
  • Information you choose to provide in forms, enquiries, presentation submissions or correspondence.
  • Technical website information such as IP address, device or browser details, security logs and cookie preferences.

3. How and why we use information

We use personal data to:

  • Register attendees and issue tickets, badges and accreditation.
  • Communicate essential information about the show and respond to enquiries.
  • Manage presentations, meetings, exhibitors, admission, security and event operations.
  • Provide support, prevent misuse and meet legal or regulatory obligations.

Our lawful bases may include performing a contract or taking steps requested before a contract, our legitimate interests in safely administering the event, compliance with legal obligations, and consent where required for optional marketing or sponsor communications.

4. Sharing information

We do not sell personal data. We may provide information to trusted service providers that support registration, hosting, communications, security or event delivery. They may use it only under our instructions and subject to appropriate safeguards.

Registration does not by itself mean that your details will be shared with the principal sponsor for its own marketing. Where separate consent is legally required, we will ask for it clearly. We may also disclose information where required by law, to protect legal rights, or to keep the event and its attendees safe.

If information is transferred internationally, we use an appropriate legal transfer mechanism where required.

5. BadgeMaker registration and QR scanning

BadgeMaker is operated by Automaker TV & Media Limited for registration and event access. It may hold your contact details, postal address, badge category, registration number, registration time and record of privacy acceptance.

Your badge QR code links to your registered contact record. It is not automatically shared with every exhibitor. An authorised exhibitor receives your contact details only when you voluntarily present your badge for scanning and the exhibitor completes the secure scan process. Refusing a scan does not affect admission to the show.

A scan may disclose your name, company, job title, email address, telephone number and registration reference to that exhibitor. The exhibitor may add enquiry notes, lead status, follow-up actions and the attending staff member’s name. Downloading a contact card (vCard) is separate from saving a lead in the exhibitor dashboard.

Once you voluntarily share your details with an exhibitor, that exhibitor becomes responsible for its subsequent use, security, retention and deletion, including compliance with applicable data protection and marketing law. Please ask the exhibitor for its privacy information if you have questions about its follow-up.

6. How long we keep information

We normally delete or anonymise registration and event participation data within six months after the event. We may retain particular records longer where you have consented, where the law requires it, or where needed to establish, exercise or defend legal claims. Information exported by an exhibitor following a voluntary badge scan is governed by that exhibitor’s own retention practices.

7. Cookies and website technology

We may use necessary cookies or similar technologies for core operation, security and your privacy preferences. Optional analytics, advertising or tracking technologies will be used only after consent where the law requires it. You can change your browser settings to block or remove cookies, although parts of the site may then work differently.

8. Security

We use reasonable technical and organisational measures to protect personal data against accidental loss, unauthorised access, misuse, alteration or disclosure. No internet service can guarantee absolute security.

9. Your data protection rights

Subject to applicable law, you may have the right to request access, correction, deletion, restriction or portability of your personal data, and to object to certain processing. You may withdraw consent at any time where processing relies on consent; this does not affect processing already carried out.

To exercise a right, email ns@automotivetechnology.org. We may need to verify your identity. You may also complain to the UK Information Commissioner’s Office or another competent supervisory authority in your country.

10. External links and changes to this policy

This website may link to third-party websites that have their own privacy practices. We are not responsible for those external policies. We may update this policy when our services or legal obligations change; the date at the top will show the latest revision.
